Job Profile
The Communications and Events Manager is responsible for the implementation of all the Chamber’s marketing strategies, communications, and public relations activities along with planning and coordinating the organization’s monthly and signature events. This is done in close collaboration with the Communications and Events Director and Executive Vice President. The Communications and Events Manager is responsible for developing and managing all internal and external communications between the Chamber, its membership, the community, and the media. The Communications and Events Manager also aids the Economic Development Division regarding their communications needs as well as event planning and execution. The Communications and Events Manager is a non-exempt position.
Education and Experience
The Communications and Events Manager must demonstrate skills, knowledge and experience in the design and execution of marketing, communications and public relations. A bachelor’s degree in sales/marketing, communications, public relations or related field is required. Two years full-time work experience is highly preferred.
Job Duties and Responsibilities
Events
- Works closely with Communications & Events Director, Executive Vice President, and other necessary employees to determine overall concept and goals of events.
- Works with the Vice President of Marketing & Research and the Communications & Events Director to develop a marketing strategy and implement that plan over the course of the year.
Closely manages all income and expenses in accordance with the pre-determined event budget. - Works closely with Executive Vice President and Communications and Events Director to determine program and sponsors for events.
- Monitors timelines, deadlines, and budgets related to all aspects of events, ensuring the information is communicated with staff and volunteers.
- Works in coordination with Chief Financial Officer to structure fees, payments and financial accountability of all events.
- Communicates and coordinates with speakers, sponsors and performers regarding their commitment to the event and their needs related to attending the event (i.e. A/V, travel, reimbursement, handouts, bios, etc.).
- Coordinates with sponsors to ensure they receive all pre-determined benefits per executed sponsorship agreement.
- Responsible for securing event locations and all necessary details to execute all events in a first-class fashion.
- Development of detailed agenda and script for each event.
- Responsible for securing all event set-up requirements including tables, chairs, décor, a/v needs, and catering.
- Actively manage the event and provide on-site support.
- Responsible for event clean-up and ensuring all materials arrive back to the office after events and are properly disseminated to staff responsible for those items.
- Provide any follow-up to events such as gifts to speakers, vendors, sponsors, volunteers, etc., as needed.
- Management of online calendar of events through the database and the registration process, including on‐site registrations, to ensure accurate registration data, name badges, fee collection, counts for specific events, etc.
- Assists economic development and community development team with select events.
Communications
- Responsible for creating marketing materials and identifying other relevant avenues to promote all upcoming events
- Responsible for creating content for and managing all ADP social media platforms.
- Assists in preparing communications materials including, but not limited to, weekly e-newsletter, flyers, social media, press releases, and website.
- Updates graphics and content on the ADP website.
- Provides support for existing ADP programs, products and services.
- Aids economic development team in various communications activities.
- Other duties as assigned.
Committees and Groups
Assist and provide professional staff support to include the organization of meetings, preparation for events and other related activities for the following:
- Pine Belt Young Professionals
- Leadership Pine Belt
Additional Requirements
- Must be highly motivated and well organized
- Anticipate and effectively deal with a large number of details with concurrent and overlapping deadlines for completion
- Work effectively under above average pressure
- Proficient in numerous graphic design and marketing software platforms
- Establish and maintain effective working relationships with fellow staff, members, volunteers, and all segments of the media
- Capable of networking effectively and building strong relationships
- Organize, process and maintain records and files
- Long and/or irregular work hours will be necessary at times
- Exude confidence but demonstrate humility
- Other duties as assigned
